Selection and Installation
Michael Tyler invested approximately one year researching systems before selecting SmartPO. Key selection criteria included comprehensive control and supply usage visibility.
"SmartPO is a complete package. I can see live inventory levels, so I always know what I have on the shelf and what I need to order."
Michael characterizes the SmartPO installation as "simple and smooth," noting the system's intuitive design and MedProcure's comprehensive training facilitated rapid adoption.
"The system is very intuitive to use, and MedProcure's team spent as much time with me as I needed."
Advantages of SmartPO
Purchasing
Michael describes the streamlined ordering process: "I scan the items I need and enter the order quantity, and SmartPO automatically creates a purchase order for each appropriate vendor. This saves me a tremendous amount of time versus manually entering a separate purchase order for each vendor. And it's much more accurate."
Michael estimates the time savings at least one day per week.
Inventory
SmartPO monitors supply movement through receipt into central supply, distribution to individual departments, and final usage by residents, maintaining accurate stock counts along the way. Requisition and Fulfillment functionality tracks transfers from central supply to departments and updates on-hand quantities in real-time, and the Inventory Transfer Report provides monthly detail and summary charges by department.
Punchouts
Staff access supplier websites directly while creating purchase orders within SmartPO. Michael notes: "We use punchouts with three of our primary medical supplies vendors. This saves lots of time," maintaining SmartPO controls, reviews, and reporting.
Credit Card Purchases
Mozaic's physical plant frequently orders supplies from multiple vendors using credit card payment. SmartPO accommodates credit card purchases at both the ordering stage and the invoicing stage, and the Paid by Credit Card report supports monthly credit card audits.
Cross Referencing
Product Cross Reference functionality enables staff to identify alternate items during supply chain disruptions and backorders, protecting patient care continuity.
Future Plans
Mozaic intends to expand procurement automation utilizing SmartPO's Generate Orders functionality. The system will:
- Create orders based on optimum inventory levels for each item
- Automatically generate purchase orders when on-hand quantities fall below pre-defined minimum levels
- Return inventory to maximum levels
- Allow orders approval and vendor transmission according to custom organizational rules
In Conclusion
Michael Tyler commends both the product and support team: "As an inventory and purchasing tool, SmartPO is working very, very well for us. And the support we've received from MedProcure has been second to none."
